Short answer: Mortgage lead management software should be evaluated with representative records: confirm the source, accountable owner, next action, handoff history, communication review point, and correction path before relying on a workflow.

Test five records in every demonstration

Record test What to ask to see Exception to test
New inquiry Source context, a named owner, the first review point, and the next action. The source or contact details are incomplete.
Handoff Prior activity, current owner, date, and the information needed by the next person. The assigned person is unavailable or the relationship context changes.
Duplicate How related records are recognized and corrected without erasing useful history. Two records have conflicting details or different owners.
Communication hold How a planned action can be paused, reviewed, changed, or recorded as no action. A reply or status change makes the planned sequence unsuitable.
Stale record What history is visible, who reviews it, and how a next step is documented. A record lacks context or should not receive the ordinary follow-up.
