LOS/POS Sync Evaluation Checklist for Mortgage CRMs

LOS and POS sync can be a serious buying requirement for a mortgage CRM, but the evaluation should start with workflow. A team does not need every possible field to move everywhere. It needs the right records, ownership, timing, and exceptions handled clearly enough that loan officers can work without duplicate data entry or blind spots.

This checklist is intentionally vendor-neutral. It is a planning tool to use before a demo, not an integration specification.

The sync questions that matter

Area Question Why it matters
Record ownership Which system owns borrower/contact data, loan status, tasks, and campaign segmentation? Without ownership rules, sync creates duplicates and bad reporting.
Field scope Which fields must sync, which should remain view-only, and which should not sync? A small accurate sync is often better than a broad unreliable one.
Timing Does the workflow need real-time, scheduled, or manual review sync? Speed matters differently for leads, milestones, compliance review, and reporting.
Exceptions How are duplicates, failed syncs, missing fields, opt-outs, and reassigned records handled? Exceptions are where day-to-day operations usually break.
Migration What needs to be cleaned before switching? Use migration risk planning before the move. Old data quality determines how useful the new workflow feels.

What to bring to the demo

  • Your current LOS/POS stack and which system owns each workflow.
  • A sample of required fields and statuses.
  • Examples of duplicate records or failed handoffs.
  • Branch/team routing rules.
  • Reporting requirements for lead source, milestones, campaigns, and recapture.
