The 1003 Online Application: How BNTouch Made Mortgage Apps Digital

The 1003 application is the document that turns an interested borrower into a real lead. For most of the last two decades, that conversion happened on paper, then on a PDF, then on a fax. BNTouch built the 1003 as a fully digital, mobile-friendly online application that lives inside your CRM, generates a unique link per loan officer, and triggers automation the moment the borrower hits submit.

The configuration layer

Field visibility and required fields

You decide which sections of the 1003 the borrower sees and which fields are required. The default field set covers the full Fannie Mae standard application, but for shops that want a lighter touch at the top of the funnel, you can hide the more invasive sections (e.g. asset detail, full employment history) until after the initial qualification call.

Auto-routing on completion

This is the configuration most loan officers skip and shouldn’t. From the demo: “The first option if enabled will automatically move a borrower’s record to next stage.” When the borrower completes the 1003, the record moves from “lead” to “application” automatically. No manual stage update. No risk of missing the routing.

You can stack additional auto-actions on completion: send a notification email to the LO, remove the borrower from the top-of-funnel nurture, add them to the “active application” group that powers status update campaigns. The team’s framing on video: “Automate actions when a borrower completes their 1003 form including sending you an email notification and removing the lead from prior status.”

Drop-off recovery

The 1003 is long. Borrowers will start and walk away. The drop-off recovery setting catches them. From the demo: “If they haven’t finished the 1003 but have started it, it can send them an automatic text or email.” Most BNTouch shops we work with set this to a two-touch follow-up: an SMS at the four-hour mark, an email at the twenty-four-hour mark. Both reference the partial application by name and link them back to where they left off.

The borrower experience

Every loan officer gets their own 1003 link. “Every user gets a 1003 link, an application link that they can put on their site/comms.” The borrower clicks, lands on a co-branded mobile-friendly application, and walks through the form section by section.

The form is paged, not infinite-scroll. Each section saves automatically, which is the mechanic that makes the drop-off recovery feature work. If the borrower closes the tab on page 4 of 7, the system knows they made it to page 4 and the follow-up email lands them back on page 4.

The trigger layer: what fires when the 1003 lands

Two specific triggers worth knowing how to use:

  • Move to a new pipeline step. “Move to a new step in the marketing sequence pipeline when they complete their loan app.” Use this to advance the record from “lead” to “application” automatically.
  • Triggers on completion. “Triggers that if the 1003 is completed next-step.” Use this to start the application-stage campaign that asks for income documentation, sends the next steps email, and assigns a task to the LO to call within 30 minutes.

Combined, the two triggers turn the 1003 submission into the start of an automated application-stage workflow that requires zero manual intervention.

The partner side: co-branded 1003 links

The under-used feature. Each realtor partner can have a co-branded 1003 link that displays both the LO’s branding and the partner’s branding. From the demo: “If you want to use this co-branded 1003 link, okay, you can copy that, drop it into a flyer or partner kit.”

You generate the co-branded link from inside the partner record. The same menu offers a QR code: “click create QR code.” The QR code is what makes the partner-side application capture work in person, at an open house, on the back of a business card.

Where the completed application file lives

After submission, the file is available in the document section of the borrower record. “You can access the 1003 post-FNM file in the document section.” The FNM file is the Fannie Mae 3.2 format, which is what your LOS will want when you push the file forward.

If you have an LOS integration configured, the file pushes automatically. If not, you download the file from the document section and import it manually into your LOS.

The mobile and conversational layer

One detail that does not get enough airtime: the 1003 form is fully mobile-friendly. Most online applications still treat mobile as a second-class experience, with cramped fields and broken layouts. Five recommendations for getting the most out of the digital 1003

  1. Set the auto-routing. Auto-advance the record stage and auto-trigger the application-stage campaign. If you do not do this, you are running a digital form with a manual workflow behind it.
  2. Set drop-off recovery. Two touches: SMS at 4 hours, email at 24 hours. Reference the partial application by name.
  3. Generate co-branded links for your top ten partners. Distribute the QR codes. Put them on business cards. The friction reduction is meaningful.
  4. Hide invasive fields at the top of the funnel. For a cold lead, ask for the minimum that lets you qualify. You can always come back for assets and full employment after the initial call.
  5. Put the 1003 link in your email signature. Every conversation with a prospective borrower ends with a friction-free path into the application. Make it one click.
