A Mortgage Relationship Communication Review Framework

Short answer: Before an MLO sends a recurring relationship communication, the team should be able to name the audience, business purpose, source record, message owner, review date, and stop condition. That review creates a practical trail for better borrower and partner communication without treating a template or automation as a substitute for company policy or legal advice.

The six-point review

Why are we contacting them? A specific relationship purpose tied to the audience and moment. The purpose is generic, stale, or cannot be explained by the sender.
Is the message accurate? Current loan-stage context, rates or product information, and approved language. Facts need verification or the message implies an outcome it cannot support.
Who owns the send? Named sender, approver, and response owner. No one is responsible for replies or follow-up.
How can a recipient opt out? The applicable unsubscribe or preference process required by company policy and channel rules. The process is absent, unclear, or differs from the organization’s documented procedure.
When was this reviewed? Review date, source links, and the version of the message or audience. The campaign was reused after a material policy, product, or audience change.

A practical MLO workflow

  1. Start with a relationship question, such as which funded clients have not received a useful annual check-in.
  2. Build the audience from records your team can inspect, then remove uncertain records before drafting.
  3. Write a message with a clear purpose and an owner for responses.
  4. Review it against company policy, the communication channel, and the recipient’s current context.
  5. Save the audience logic, reviewed version, and review date so the next send starts with evidence instead of memory.

Use a stop condition, not just a start condition

What this framework does not do
