The partner record list inside BNTouch is the table view of every realtor, agent, attorney, and other partner contact in your CRM. The list supports view configuration, column sorting, multi-record selection with checkboxes, and a wide range of bulk actions: start a campaign, assign or remove from groups, send a tracker report, send a bulk SMS (with BNTouch Voice active), merge duplicates, and delete multiple records at once. The Fannie Mae 3.2 import button on the same screen lets you bring partners in from external sources without manually creating each record.

What the list contains

“All records for agents, realtors, attorneys, and other partners are kept in [this database]” [WYbOtNg89GI m0]. So the partner record list is the partner-side counterpart to the mortgage record list. Every non-borrower contact you work with lives here: real estate agents on buying and listing sides, title attorneys, insurance contacts, builder reps, processor partners, anyone else who participates in the mortgage process from outside your office.

The list view structure

“Below the subtabs, you will see a list of your partners as rows in a table. Details from each partner’s record will [display in columns]” [WYbOtNg89GI m1]. So the screen is structured as a table. Each row is one partner; each column is a data field (name, role, last contact, etc.). The columns shown depend on the view configuration, which has its own settings tab the walkthrough references but does not deep-dive.

Sorting by column

“The selected column for record sorting will appear in orange. Clicking a header again will reverse the sorting” [WYbOtNg89GI m2]. So you can click any column header to sort the list by that field. Click again to reverse the order. The active sort column shows in orange so you can see at a glance which dimension the list is currently sorted by.

Common practice: sort by last-contact-date to surface partners who have not been touched recently. Sort by referral count to find your top partners. Sort by added-date to see the most recent additions.

Bulk action menu at the top and bottom

“No matter which view is used, several options will be available for records in the partnerships tab. Actions can be taken on multiple records [via the bulk action menu]” [WYbOtNg89GI m2]. So you select records by checking the boxes on the left, then trigger one of the bulk actions available from the menu above or below the list.

Start campaign

Run a marketing campaign on a selected cohort of partners. Useful for partner-specific drip sequences (e.g., a partner appreciation campaign on your top 20 referrers).

Tracker report

“Tracker report will let you see all tracker events that have been created for the selected records” [WYbOtNg89GI m3]. So a bulk tracker report surfaces every communication and activity across the selected partners. Useful for cohort analysis: how many touches has each top-tier partner received this quarter.

Assign records to a different user

“The assign records button will show a list of your crm users who you can then assign the selected records to” [WYbOtNg89GI m3]. Reassign partners across the team. Useful when an LO leaves the brokerage and their partner relationships need to be redistributed.

Change groups assigned

“Change the groups assigned to the records. You can select multiple groups for each record using the check boxes in the list, or you can remove the records from all groups using the box to the right” [WYbOtNg89GI m4]. So you can bulk-add partners to groups (e.g., add 30 partners to a “Q2 top performers” group) or bulk-remove them from groups (e.g., remove last-year’s top performers from the group before adding this year’s).

Merge duplicate records

“If you have selected only two [records, the merge option is available]” [WYbOtNg89GI m4]. Merge is bulk-action accessible only when exactly two records are checked. Standard merge mechanics apply: topmost record wins on connected elements.

Delete multiple records

“Multiple checked records at once” [WYbOtNg89GI m5]. The delete bulk action removes multiple partners in one operation. Irreversible. Use the proactive duplicate audit pattern to identify candidates for delete-after-merge rather than blanket-delete.

Send bulk SMS (Voice module required)

“Lastly, the send SMS button allows you to compose an SMS text message and send it to each of the selected records. This feature is only available to accounts with the BN touch voice module active” [WYbOtNg89GI m5]. So with BNTouch Voice on, you can send a single SMS message to a batch of partners at once. Useful for time-sensitive notifications: a market update text to all top-tier partners on a rate-moving day.

The Fannie Mae 3.2 import button

One useful operational detail. “Alternatively, you can import a record from a Fannie May 3.2 file by clicking the import FN3.2 button at the top of the screen” [WYbOtNg89GI m6]. So the partner record list supports Fannie Mae 3.2 file imports as a path for bringing partner data in from external sources.

“When importing records, make sure each file has a unique file name” [WYbOtNg89GI m6]. Standard import hygiene applies; do not let the file name collisions create accidental overwrites.

A specific scenario: Q2 partner appreciation campaign

You want to run a custom appreciation campaign on the top 25 partners who referred files closed in Q1. The bulk-action workflow:

  1. Open the partner record list. Configure the view to show the referral count column (you may need to add this column via view settings).
  2. Sort by referral count, descending. The top 25 surface at the top.
  3. Check the boxes on the top 25 records.
  4. Click the bulk action menu, choose “add to group.” Add them to a newly created group called “Q1 top 25 partners.”
  5. Click bulk action again, choose “start campaign.” Pick the Q2 partner appreciation campaign you have already built. The campaign starts on all 25 partners.

Total time: 8 minutes. Result: 25 top partners receiving a personalized appreciation campaign sequence over the next 90 days, with each partner’s tracker logging the activity.

The view settings cross-reference

The walkthrough notes that view settings have their own training video, and the column configuration on the partner record list depends on that view. “To learn more about the views available in your CRM, please watch our view settings training video in this series” [WYbOtNg89GI m1]. So if you want columns like referral count, last contact date, or any custom field to appear in the list, configure them in view settings first.

Honest limits

  • Bulk delete is irreversible. Once committed, the records are gone. Use Pik-a-Search to audit the cohort before bulk-delete actions.
  • Bulk SMS requires BNTouch Voice. Without the Voice module active, the send SMS button is not available. Voice activation is per-account.
  • Merge action is two-record-only via bulk path. If you need to merge three or more duplicate records, do it as two-at-a-time operations or use the merge tool from the individual record view.
  • Sort orders apply to current view only. Reordering the list does not change the underlying record data; it just changes display order on the current screen.
